This notice explains how Same Basis Ltd handles personal data when you use our website and service (“Same Basis”).

Who we are

Same Basis Ltd is the data controller for the personal data described here.

What we collect

  • Account data you give us — your name, email address and organisation.
  • Content you enter — the project, assessment and carbon data you create or upload while using the service.
  • Technical data — basic information your browser sends (e.g. IP address, device/browser type) and records needed to keep the service secure and working.
  • Messages you send us.

Why we use it, and our legal basis

  • To provide and maintain the service and your account — performance of our contract with you.
  • To keep the service secure, prevent misuse and improve it — our legitimate interests.
  • To meet legal and accounting obligations — legal obligation.
  • To send optional updates, where you’ve asked for them — your consent, which you can withdraw at any time.

Who we share it with

We use trusted service providers to run Same Basis — including cloud hosting, database and AI processing providers — who act on our instructions. We do not sell your personal data or share it for others’ marketing.

International transfers

Some of our providers operate outside the UK/EEA. Where data is transferred, we rely on appropriate safeguards (such as UK adequacy regulations or standard contractual clauses).

How long we keep it

We keep personal data for as long as your account is active and for a reasonable period afterwards, then delete or anonymise it — unless we must keep it longer to meet a legal obligation. You can ask us to delete your account and data at any time.

Your rights

You have the right to access, correct, delete, restrict or object to our use of your personal data, and to data portability. To exercise any of these, email hello@samebasis.com. You can also complain to the Information Commissioner’s Office (ico.org.uk), though we’d appreciate the chance to help first.

Cookies

We use only essential cookies/storage needed to sign you in and run the service. We don’t use advertising or tracking cookies.

Changes

We may update this notice; the “last updated” date above will change accordingly.
